REMINDER - CUT-OFF DATES - Bond Program Primavera Updates - Due the first Friday of every month, next due Thursday, July 3, 2008 in light of the July 4th holiday. The effective date of this update should be listed as June 30, 2008.

CAPSTAT Updates, including HUB participation data - Due the second Friday of every month, next due Friday, July 11, 2008. Note that dates in CAPSTAT should match the similar milestone dates in your Primavera schedule. For example, a project that is complete should reflect the same completion dates in both CAPSTAT and Primavera records. This data will be used for the September HEBOC report. Please ensure that HUB data is correct and current and "Funds Otherwise Allocated" entries are also current.

Post Designer Selections Promptly Please - Please post information in CAPSTAT whenever you select designers so that selection information will be available promptly. Data is extracted from CAPSTAT monthly for designer selection reports to the State Building Commission and needs to accurately reflect current activity.

CAPSTAT CLARIFICATIONS

Sub-project - Any construction work requiring contracted design and construction. An award letter or construction purchase order DESIGNED BY A CONTRACTED DESIGNER (includes open-ended designers) equals one sub-project. Force account work and contracted construction designed in-house are not sub-projects. These items along with the costs of newspaper advertisements, copying plans, purchases, testing, and other non-design and non-construction costs, once committed, should be reflected as a lump sum at the bottom of the Project Details screen. They should be included under Funds Otherwise Allocated as funds are committed through a purchase order or work order.

Orig Award Amount - Entries for the original award amount on a subproject should reflect only the construction contract(s) awarded, NOT the design, contingency, or other budgeted costs. Note that the design fee is shown as a separate entry. It is important for accurate budgeting as well as the accuracy of reports drawn from the CAPSTAT system that these amounts reflect only construction costs.
